S&S Heritage Vault LLC is a coin and bullion shop. We collect and use personal information to sell and buy physical coins, paper money, gold, silver, platinum, palladium, jewelry, and collectibles; to run this ExtraCoins website; to stop fraud, chargebacks, and bad payments; and to follow the law. We do not sell your personal information. This shop does not sell digital assets.

1. Scope

This policy covers this ExtraCoins website, in-store counter sales and buys, pickup of web orders, coin-show sales when we identify as this shop, Phone AI / voice and text if this shop uses them, ExtraCoins shopper accounts, and optional public directory listings this shop has turned on.

2. Information we collect

• Orders and accounts. Name, email, phone, billing and shipping addresses, order contents, pickup notes, passwords we store hashed, and messages you send through the site.
• Payments. Processor references (last four, method, approval). We do not store full card numbers on ExtraCoins pages. Card data goes to the processor this shop enabled (for example Authorize.Net, CARDZ3N, or PayPal).
• Counter and buys from the public. Government ID when the law or our buy policy requires it, item descriptions, weights, photos, cert numbers, and video or stills from counter cameras.
• Fraud and security. IP address, device/browser data, checkout behavior, and records we need to answer chargebacks and recalled payments.
• Phone and text. If this shop uses Phone AI or SMS, we collect the numbers you call or text, call recordings or transcripts the shop has enabled, and delivery logs. Outbound calls may show this shop’s name on phones that support caller ID name (CNAM).
• Optional marketing. Email or text specials only if you signed up. You can stop those without stopping order mail we must send.

3. How we use it

• Fill, pick up, and ship orders
• Confirm payment, fight chargebacks, PayPal claims, NSF, recalled wires, and unpaid goods
• Identify you at pickup and match ID to the card or order when needed
• Buy coins and metal from the public and keep records for stolen-property and tax rules
• Run ExtraCoins, ExtraCoins shopper accounts, price watches, and want lists
• Answer you, send receipts, and send texts or email you asked for
• Comply with cash-reporting, sales tax, and law-enforcement requests we are required to answer

4. Who we share with

We share only what is needed:

• Payment processors and banks this shop uses
• Shipping carriers when you choose shipping
• SpotPro / ExtraCoins as the storefront and POS operator (hosting, checkout, inventory, support)
• Directory sites this shop opted into (for example USCoinShops, CoinShows, Cash4Coins, CDXList, CDX Links) — typically shop name, address, phone, hours, and site URL, not your customer list
• Authorities when the law requires it, or when we reasonably believe goods are stolen or a payment is criminal

We do not rent mailing lists. A chargeback or dispute package may include photos, signatures, tracking, ID we legally collected, call notes, and our Terms of Sale.

5. Cookies and similar tech

The site uses cookies and local storage for cart, login, and fraud checks. You can block cookies in your browser; checkout and accounts may not work without them. We do not use that data to sell ads about you to other industries.

6. How long we keep it

Order, buy, tax, and dispute records are kept as long as tax, card-network, and stolen-property rules require — often years after the sale. Camera video is kept for a limited shop period unless it is part of a claim. Marketing lists are kept until you unsubscribe. We may keep a minimal record of a deletion request.

7. Security

We use reasonable technical and organizational measures (HTTPS, hashed passwords, processor-hosted card fields). No website is perfectly secure. You are responsible for the password on your ExtraCoins account.

8. Children

This shop is for adults. We do not knowingly collect personal information from children under 13. Sales are for people 18 or older as stated in the Terms of Sale.

9. Your choices and requests

You may ask to see, correct, or delete personal data we can legally delete. We may refuse to delete what we must keep for completed sales, chargebacks, tax, and stolen-property rules. Unsubscribe links end marketing mail; they do not erase invoices. Contact this shop to make a request. If the law of your state gives extra rights (access, deletion, appeal), we will honor those we are required to honor.

10. Do not sell

We do not sell personal information as that phrase is used in ordinary shop practice. Directory listings are the shop’s own public business listing, not a sale of customer data.

11. Changes

We may update this policy. The date above is the current version. Custom privacy copy pasted on ExtraCoins website replaces this default for this shop only.
